To try to avoid hiccups that have occurred in the past I hope that the following notes will help to make your and our administration go smoothly prior to and during the rally. 1) Send completed group, participant and adult application forms along with fees to Jamie Gordon, 126 Castle Heather Drive, Inverness, IV2 4ED. 2) You will receive back a confirmation by e-mail and the allocation of each of your participants to their muster group. 3) Please send an e-mail to confirm receipt of this. If you do not receive a confirmation please contact Jamie to check that he has received your forms. (Last year we heard at the rally that some groups had not received the e-mail. Please check that your system will accept e-mails from the rally and that your inbox is not full.) 4) Inform your participants of their muster group so that they bring the necessary clothing/footwear. 5) Complete the necessary forms for your organisation such as NAN for Scouts and A/A or A/S for Guides. Scouts without a leader need an EVENT PASSPORT. 6) On arrival groups MUST report to admin before going to camping areas where they will be allocated to a camping area. If any of your party arrive later they must also report to admin before joining you at your camping area so we know, for safety reasons, who all is on site. 7) During the weekend anyone leaving the site, not with an official activity group, must report out and back in at admin. 8) InTouch(Scouts)/Home Contact(Guides). The new InTouch system for Scouts is fully operational from September 2010 replacing the Home Contact system. Set up the appropriate system for your party. (See FS 120075 InTouch for details) For the rally this is coordinated by our admin tel: 07977 478449. Inform admin of your arrangements. |
